How to Withhold your directory information

You can only request changes to your own personal information. Changes will be reflected in People Finder and the next available UMass Amherst print directory.

University employees: Updating your directory information does not update your Human Resources record. Regardless of whether you have been a UMass student or not, you must visit the Human Resources Employee Service Center (325 Whitmore) to change your name for payroll, health insurance, state retirement and other HR services; or to update your work address in the HR system.

Name
Current and former students must contact their most recent Registrar's Office. Bring or mail the change request form (available in these offices) or a signed letter requesting the change.

Financial aid applicants: If you change your name with the University, make sure your FAFSA information also reflects this change. For assistance, visit the Office of Financial Aid, 225 Whitmore.
University employees must send an email, from a UMail (OIT-maintained) or departmental email account, to directory@oit.umass.edu, with their old and new names, and their Campus ID (found on each paycheck) or NetID (OIT Account user name). University employees who are, or have been, UMass Amherst students must follow the procedure for students above.
Other members of the University community, who are not students or University employees, but are affiliated with the University in a formal capacity (e.g., Visiting Scholar, ROTC Staff, Religious Center Staff) must send an email, from a UMail (OIT-maintained) or departmental email account, to directory@oit.umass.edu with their old and new names and their NetID (OIT Account user name).
Telephone number
Students, and employees with access to SPIRE: Go to Menu > Personal Portfolio > Phone Numbers. Residence Hall phone numbers cannot be changed.
Employees without access to SPIRE: Send an email, from a UMail or departmental email address, to directory@oit.umass.edu, indicating the type of phone number (Work, Permanent, Local) and the new number(s). Include your Campus ID (found on each paycheck) or your NetID (OIT Account user name).
Email
To change your UMail address (your OIT-maintained email address), fill out an Online Help Request.
To change your departmental email address (maintained by another UMass department, another UMass campus, the President's Office, or one of the Five Colleges), contact the specific department, and use SPIRE: Go to Menu > Personal Portfolio > Email Addresses.
Alternately, you can send an email, from a UMail (OIT-maintained) or departmental email account, to directory@oit.umass.edu, with your new and old email addresses. Include your Campus ID (found on each paycheck), or your 8-digit Student ID (found on your UCard), or your NetID (OIT Account user name).
If you have both a UMail and a departmental email address, you can choose which one will be published in University directories in SPIRE: Go to Menu > Personal Portfolio > Email Addresses, and check "Preferred" next to your choice. Changes will appear in People Finder within two business days and in the next available print directory.
Please Note:
  • Students, faculty and staff can only publish their UMail or departmental email address. If you are a retired employee, you also have the option of listing a non-UMass email address.
  • Your UMail address will be listed in both directories unless you check "Preferred" for another email address in SPIRE, or if you request that your email address be kept private. Employees cannot request privacy for their University email address.
  • As a student, your official email address remains your UMail address, even if you choose to publish a departmental email address in University directories.
  • At this time, any changes will be reflected in 2007 print directory.

Work address
If you have access to SPIRE: Go to Menu > Personal Portfolio > Addresses and update the Address 1 field with the new building name and room number.
If you do not have access to SPIRE: Send an email, from your UMail (OIT-maintained) or departmental email address, to directory@oit.umass.edu with the new building name and room number. Include your Campus ID (found on each paycheck) or your NetID (OIT Account user name).
Major
Students should contact their most recent Registrar's Office (see Names above).
Withhold your directory information
Current and former students must submit a change request form (available in these offices) or a signed letter requesting that your information remain private, to the appropriate office:
  • Undergraduate students: Dean of Students Office, 227 Whitmore
  • Graduate students: Graduate Registrar's Office, 532 Goodell
  • Continuing Education students: Continuing Education Records & Registration Office, 100 Venture Way, Room 238, Hadley, MA
University employees should contact Human Resources (325 Whitmore). As a University employee, you can only withhold your home address and home telephone number. Your work address, work telephone number, and University email address must be available in all UMass Amherst directories.
